Purpose of processing personal data<\/h2><p><span lang=\"EN-GB\">Personal data are processed in SYKETT\u00c4 sports services for the following purposes:<\/span><span lang=\"EN-US\">\u00a0<\/span><\/p><ul><li><span lang=\"EN-GB\">Management of user status<\/span><\/li><li><span lang=\"EN-GB\">Management of enrolments<\/span><\/li><li><span lang=\"EN-GB\">Marketing and informing about the services<\/span><\/li><li><span lang=\"EN-GB\">Sports instructing<\/span><\/li><li><span lang=\"EN-GB\">Compilation of statistics<\/span><\/li><li><span lang=\"EN-GB\">Monitoring and measuring the utilisation rate<\/span><\/li><li><span lang=\"EN-GB\">Monitoring and solving malpractices<\/span><\/li><li><span lang=\"EN-GB\">Verifying the rights to use the service<\/span><\/li><li><span lang=\"EN-US\">Technical monitoring<\/span><\/li><li><span lang=\"EN-GB\">Upkeep of the contact details<\/span><\/li><li><span lang=\"EN-GB\">Monitoring the payment transactions<\/span><\/li><\/ul><h2>6. Legal basis of processing personal data<\/h2><p><span lang=\"EN-GB\">Processing of personal data is based on Article 6 or 9 of the General Data Protection Regulation:<\/span><\/p><p>\u2612<span lang=\"EN-US\">\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0<\/span><span lang=\"EN-GB\">consent of the data subject<\/span><\/p><p>\u2612<span lang=\"EN-US\">\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 implementation of the controller\u2019s or third party\u2019s legitimate rights. The l<\/span><span lang=\"EN-US\">egitimate right in question is customer relationship.<\/span><\/p><p>These can be found from EU\u2019s General Data Protection Regulation, Article 6, paragraph 1, points a-f.<\/p><h2>7. Categories\u00a0<span lang=\"EN-GB\">of personal data and the data retention period<\/span><\/h2><p><b><span lang=\"EN-GB\">Personal data on the SYKETT\u00c4\u00a0service<\/span><\/b><\/p><p><span lang=\"EN-GB\">When registering in SYKETT\u00c4 service, the following personal data is asked from the user:<\/span><span lang=\"EN-GB\">\u00a0<\/span><\/p><ul><li><span lang=\"EN-GB\">First name<\/span><\/li><li><span lang=\"EN-GB\">Last name<\/span><\/li><li><span lang=\"EN-GB\">User status (student, staff member, instructor)<\/span><\/li><li><span lang=\"EN-GB\">Organisation (University of Eastern Finland [UEF] or Karelia University of Applied Sciences [Karelia UAS])<\/span><\/li><li>Phone number<\/li><li><span lang=\"EN-GB\">Email address<\/span><\/li><\/ul><p><span lang=\"EN-GB\">Personal data shall be maintained in SYKETT\u00c4 system as long as the person in question is\u00a0<i>an active user\u00a0<\/i>of the services.\u00a0<i>Active user\u00a0<\/i>means a person to whom at least one of the following conditions applies:<\/span><span lang=\"EN-GB\">\u00a0<\/span><\/p><ul><li><span lang=\"EN-GB\">The person has a valid SYKETT\u00c4 sticker<\/span><\/li><li><span lang=\"EN-GB\">The person has had a valid SYKETT\u00c4 sticker for the two preceding semesters (from present). SYKETT\u00c4 semesters are from the 1<sup>st<\/sup>\u00a0of January to the 31<sup>st<\/sup>\u00a0of August and from the 1<sup>st<\/sup>\u00a0of September to the 31<sup>st<\/sup>\u00a0of December.<\/span><\/li><li><span lang=\"EN-US\">The person has a key fob to a SYKETT\u00c4 sports facility<\/span><\/li><\/ul><p><span lang=\"EN-GB\">Personal data shall be deleted from the SYKETT\u00c4 system, when none of the conditions mentioned above apply.<\/span><\/p><p><b><span lang=\"EN-GB\">Personal data of\u00a0Physical Activity Counselling<\/span><\/b><\/p><p><span lang=\"EN-GB\">Customers of Physical Activity Counselling shall fill in by themselves an initial information form, which contains background information about exercising. The following personal data are filled by the customer:<\/span><span lang=\"EN-GB\">\u00a0<\/span><\/p><ul><li><span lang=\"EN-GB\">First name<\/span><\/li><li><span lang=\"EN-GB\">Last name<\/span><\/li><li><span lang=\"EN-GB\">Year of birth<\/span><\/li><li><span lang=\"EN-GB\">Phone number<\/span><\/li><li><span lang=\"EN-GB\">Email address<\/span><\/li><\/ul><p><span lang=\"EN-GB\">In addition, the customers shall fill background information form concerning their state of health and the amount and type of exercise. Forms shall be removed as the counselling period has ended.<\/span><\/p><h2><b><\/b>8. Information systems that are used in processing<\/h2><p><span lang=\"EN-GB\">Personal data, that is collected in the SYKETT\u00c4 system, are used in the following information systems:<\/span><\/p><ul><li><span lang=\"EN-GB\">\u00a0<\/span>SYKETT\u00c4 website and mobile app<ul><li>User register<\/li><\/ul><\/li><li><span lang=\"EN-GB\">Google Drive<\/span><ul><li><span lang=\"EN-GB\">Register of the granted key fobs<\/span><\/li><li><span lang=\"EN-GB\">Register of the granted free stickers<\/span><\/li><li><span lang=\"EN-GB\">Register of the sessions that are inspected by a SYKETT\u00c4 inspector<\/span><\/li><\/ul><\/li><li>Paytrail<ul><li>Webshop<\/li><\/ul><\/li><\/ul><h2>9. Where is the personal data required in processing received from?<\/h2><p><span lang=\"EN-GB\">A user shall register in the SYKETT\u00c4 system by themselves with a student email address or staff member email address of the UEF or the Karelia UAS. Personal data are stored in the system in accordance with the registration. Providing the personal data is a prerequisite to use the services. Also, consent to processing personal data is asked along the registration.<\/span><\/p><p><span lang=\"EN-GB\">The UEF students and staff members\u2019 right to use the SYKETT\u00c4 services can be checked from Peppi or from a list of staff members that is delivered regularly for Sports Coordinator by UEF.<\/span><\/p><p><span lang=\"EN-GB\">Customers of Physical Activity Counselling shall deliver the required personal data for the physical activity counsellor by themselves. Providing the personal data and background information is a prerequisite to participate in the Physical Activity Counselling.<\/span><\/p><h2>10. Use of cookies<\/h2><p>Cookies are used in the browser-based information systems of data processing. A cookie is a small text file, which is stored on the user\u2019s device by the browser. Cookies are used for carrying out services, making it easier to log into services and making it possible to compile statistics of the service usage. A user may restrain the use of cookies in the browser system, but this may prevent the system from operating properly.<\/p><p>Cookies are used in the following browser-based data processing systems:\u00a0<span lang=\"EN-GB\">SYKETT\u00c4 Joensuu<\/span><\/p><h2>11. Regular transfers and disclosures<\/h2><p><span lang=\"EN-GB\">Personal data are disclosed regularly for the following parties:<\/span><\/p><p><strong>Co-operation companies that hold classes for SYKETT\u00c4 customers<br \/><\/strong><span lang=\"EN-GB\">Co-operation companies that hold SYKETT\u00c4 classes operate also as processors of the SYKETT\u00c4 user register\u2019s personal data. Disclosure of the personal data concerns those users, who have enrolled for a class that is held by a co-operation company. Disclosure is made so that the instructor of the class can verify the participants to the SYKETT\u00c4 system. Participating in the classes is monitored to prevent malpractices of the services.<\/span><\/p><p><strong>Finnish Student Health Service (FSHS)<br \/><\/strong><span lang=\"EN-US\">Customers coming to the Physical Activity Counselling are sent to the physical activity counsellor through FSHS. After the Physical Activity Counselling, information concerning the success and implementation of the Physical Activity Counselling is disclosed to the above-mentioned parties.\u00a0<\/span><span lang=\"EN-GB\">Customer\u2019s consent for sending the information is asked.<\/span><\/p><p>Ylioppilaiden terveydenhoitos\u00e4\u00e4ti\u00f6 (YTHS)<br \/>T\u00f6\u00f6l\u00f6nkatu 37 A<br \/>00260 Helsinki<br \/><a href=\"https:\/\/www.yths.fi\/en\/using-services\/data-protection\/\">https:\/\/www.yths.fi\/en\/using-services\/data-protection\/<\/a><\/p><p><strong>Paytrail Oyj<\/strong><br \/>Paytrail Oyj is a collecting payment service provider and an authorized Payment Institution working in cooperation with Finnish banks and credit institutions. Paytrail Oyj will be shown as the recipient on your bank or credit card statement. Paytrail Oyj will forward the payment to the merchant. SYKETT\u00c4 stickers are sold and key fobs are granted at POKA\u2019s offices, and in addition there is a SYKETT\u00c4 staff member on the payroll of POKA.<\/span><\/p><p>Karelia-ammattikorkeakoulun opiskelijakunta POKA<br \/>Tikkarinne 9<br \/>80200 Joensuu<br \/><a href=\"https:\/\/www.pokapoka.fi\/english\/become-a-member\/privacy-statement.php\">https:\/\/www.pokapoka.fi\/english\/become-a-member\/privacy-statement.php<\/a><\/p><p><strong>Student Union of the Savonia University of Applied Sciences, SAVOTTA<br \/><\/strong><span lang=\"EN-GB\">Student Union of the Savonia University of Applied Sciences, SAVOTTA, operates as a processor of the SYKETT\u00c4 user register\u2019s personal data. When a person, who has registered in the SYKETT\u00c4 Joensuu website and purchased a valid SYKETT\u00c4 sticker, wants to cross-use the services in Kuopio, the person has to first activate the cross-usage to Kuopio campus on their own user profile. After this, the person\u2019s data transfers from their user profile into the user register of SYKETT\u00c4 Kuopio. Thus the person can be given access to SYKETT\u00c4 services in Kuopio.<\/span><\/p><p><span lang=\"EN-GB\">Savonia-ammattikorkeakoulun opiskelijakunta (SAVOTTA)<br \/>Microkatu 1 E, 3. kerros<br \/>70210 KUOPIO<br \/><a href=\"https:\/\/opiskelijakuntasavotta.fi\/en\/student-union\/data-protection\/\">https:\/\/opiskelijakuntasavotta.fi\/en\/student-union\/data-protection\/<\/a><\/span><\/p><p><b>Savonia University of Applied Sciences<br \/><\/b>Design Center of Savonia University of Applied Sciences updates SYKETT\u00c4 website and the SYKETT\u00c4 mobile app. During the project Design Center\u00a0<span lang=\"EN-GB\">operates as a processor of the SYKETT\u00c4 user register\u2019s personal data.<\/span><\/p><p>Savonia-ammattikorkeakoulu<br \/>Microkatu 1,<br \/>70210 KUOPIO<br \/><a href=\"https:\/\/www.savonia.fi\/en\/savonia-uas\/gdpr\/\">https:\/\/www.savonia.fi\/en\/savonia-uas\/gdpr\/<\/a><\/p><p><strong>University of Eastern Finland (UEF)<br \/><\/strong><span lang=\"EN-GB\">When a staff member of the University of Eastern Finland buys a SYKETT\u00c4 sticker, their right to use the Aurora\u2019s gym is activated in their key fob<\/span><span lang=\"EN-US\">. In case a staff member buys a SYKETT\u00c4 sticker online, they can ask the Facilities Management to activate the their right to use the Aurora\u2019s gym without having to inform ISYY about buying the sticker.<\/span><\/p><h2>12. Data transfer or disclosure to outside EU or EEA and the legitimate grounds for such actions<\/h2><p align=\"left\"><span lang=\"EN-GB\">Personal data on the SYKETT\u00c4 website and mobile app shall not be transferred to outside EU or EEA. Personal data located in Google Drive are transferred to outside EU. Google obeys the standard contractual clauses of the European Commission in guaranteeing the required level of data protection, when personal data are transferred to outside EU. ISYY has agreed to EU\u2019s standard contractual clause in the legal clauses of its contract\u2019s data protection with Google.<\/span><\/p><h2>13. Principles of protecting personal data<\/h2><p><b><span lang=\"EN-GB\">Protecting personal data on the SYKETT\u00c4 website<\/span><\/b><\/p><p><span lang=\"EN-GB\">Access to personal data on the SYKETT\u00c4 website has been restricted to\u00a0only include following people:<\/span><span lang=\"EN-GB\">\u00a0<\/span><\/p><ul><li><span lang=\"EN-GB\">Administrator<\/span><\/li><li><span lang=\"EN-GB\">Inspector (valvoja)<\/span><\/li><li><span lang=\"EN-GB\">Instructor (ohjaaja)<\/span><\/li><\/ul><p><span lang=\"EN-GB\">Access to personal data\u00a0have been given for the staff members in accordance with their tasks and responsibilities. Instructor can inspect personal data only for the part of those classes, in which the person in question has been marked as the instructor of the class.<\/span><\/p><p><span lang=\"EN-GB\">SYKETT\u00c4 website is protected with an SSL Certificate. It is not possible to register in the website without a valid email address of UEF or Karelia UAS.<\/span><\/p><p><b><span lang=\"EN-GB\">Protecting personal data in\u00a0Physical Activity Counselling<\/span><\/b><\/p><p><span lang=\"EN-GB\">Customers\u2019 personal data and background information concerning Physical Activity Counselling are stored as paper versions in a locked room for the period of counselling. Only the physical activity counsellors\u00a0and SYKETT\u00c4 staff members have access to this locked room.<\/span><\/p><h2>14. Automated decision-making<\/h2><p><span lang=\"EN-GB\">Automated decisions shall not be made.<\/span><\/p><h2>15.\u00a0Rights of a data subject<\/h2><p><span lang=\"EN-GB\">As a data subject you have the right to:<\/span><\/p><ul><li><span lang=\"EN-GB\">Inspect your data<\/span><\/li><li><span lang=\"EN-GB\">Claim for rectification of your data<\/span><\/li><li><span lang=\"EN-GB\">Claim for erasure of your data<\/span><\/li><li><span lang=\"EN-GB\">Claim for restriction of processing<\/span><\/li><li><span lang=\"EN-GB\">Object processing<\/span><\/li><li><span lang=\"EN-GB\">Request for transferring your personal data from the controller to another controller<\/span><\/li><li><span lang=\"EN-GB\">Withdraw your consent, if the processing of the personal data is based on the consent given by you<\/span><\/li><\/ul><p><span lang=\"EN-GB\">As a data subject you may use the above-mentioned rights by contacting the Data Protection Officer of the Student Union<\/span><span lang=\"EN-US\">.<br \/><\/span><span lang=\"EN-GB\">A data subject has the right to make a complaint to the Office of the Data Protection Ombudsman, in case the data subject deems that the valid data protection legislation has been violated in processing the personal data concerning the data subject.<\/span><\/p><p><span lang=\"EN-US\">Advice and instructions in matters related to the rights of data subject are given by the Data Protection Officer.<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t","protected":false},"excerpt":{"rendered":"<p>NB: This document is a translation from the original document.
